Permission

Use this page to decide what each role may do in the admin portal and on POS — which screens appear in the menu and whether staff can view, add, change, or delete data.

Open the screen: Sidebar → SecurityPermission

You usually open this screen from Roles (shield icon) with that role already selected — or open Permission directly and pick a role from the dropdown.

Two areas, one role

Use the Admin tab for back-office screens (Items, Orders, Reports, Staff, etc.). Use the POS tab for terminal behaviour (POS operations, POS settings, table reservations). Configure both if the role works in admin and on POS.

Select a role

What it does

Loads the permission matrix for one role and shows a summary card with how many permissions are enabled.

Step-by-step

  1. Open SecurityPermission.
  2. Choose Admin or POS tab at the top.
  3. Select a role in Select Role (placeholder: Select a role or Loading roles...).
  4. Read the summary card — role name, X permissions enabled, and Active / Inactive badge.
  5. Optionally tap refresh next to the dropdown — only shown after a role is selected. Toast: Refreshing Permissions / Permissions data is being refreshed.

If no role is selected, you see No Role SelectedSelect a role from the dropdown above to view and configure admin/POS permissions.

Permission count is across both tabs

X permissions enabled counts all ticked boxes on Admin and POS combined — not just the tab you are viewing.

Common mistakes / FAQs

  • Refresh is hidden. Select a role first.
  • Shield from Roles did not pre-fill the role. Pick the role manually in Select Role, or use Roles → shield again.
  • Role shows Inactive. You can still edit permissions here; set the role Active on Roles so staff can use it.

Permissions matrix

What it does

Lists modules for the current tab only, sorted A–Z, with checkboxes for Create, Delete, Read, and Update.

Step-by-step

  1. Confirm Select Role and the correct tab (Admin or POS).
  2. Scroll the Permissions Matrix table.
  3. Tick or untick boxes per module.
  4. When You have unsaved changes appears at the bottom, tap Save Changes or Discard.

Matrix columns

ColumnWhat it means
ModuleFeature area (for example Item Library, Transactions, Staff Management)
CreateMay add new records (Add buttons)
DeleteMay remove records (trash actions)
ReadMay open and view the screen. Without Read, the sidebar item is usually hidden and the URL shows Access denied.
UpdateMay edit existing records. On Roles, Update also allows the shield and Edit icons.

A dash (-) means that action is not available for that module. View / Edit from the backend map to Read / Update in the table.

Start with Read

Grant Read first so the menu item appears. Add Create, Update, or Delete only when needed.

Common mistakes / FAQs

  • I ticked boxes but nothing saved. Tap Save Changes on the floating bar — changes stay local until then.
  • Save failed and ticks reverted. Read the error toast (for example Failed to update permissions. Changes have been reverted.).
  • Module missing. It may be on the other tab (Admin vs POS) or not enabled for your tenant.

Save or discard changes

What it does

Applies checkbox changes to the server, or reloads the last saved state.

Step-by-step

  1. After you change a checkbox, use the floating bar at the bottom centre.
  2. Tap Save Changes (or Override the first time you save Franchise Owner overrides — see below).
  3. While saving: Saving... On success: Permissions updated successfully.
  4. Tap Discard to undo — Changes discarded / Permissions reset to saved state.

Changes are not automatic

Leaving the page without Save Changes loses unsaved edits.

Protected Admin role

What it does

Prevents editing permissions for the built-in Admin role.

  • On Roles: Protected badge; pencil disabled.
  • On Permission: amber summary card; all checkboxes disabled.

Franchise Owner overrides

What it does

For the system Franchise Owner role, Super Admin, Support, or Admin users can override default permissions for their restaurant only.

Step-by-step

  1. Select Franchise Owner in Select Role.
  2. If you see the amber banner, tap Override default permissions to unlock checkboxes.
  3. Tick or untick boxes, then tap Override (first save) or Save Changes.
  4. To remove custom changes, tap Reset to default on the summary card and confirm Reset to default?

Most tenants never use this

Only appears for the Franchise Owner system role and authorised administrator accounts.
