Storage locations

Use this page to define where stock is kept at each outlet - for example a walk-in fridge, dry store, bar, or prep area. Storage locations are used when you receive purchase orders and view stock by place.

Open the screen: Sidebar → Inventory Management → Storage Locations

When do you need this?

Set up storage locations before you receive goods into inventory or track stock by area. Each location belongs to one restaurant (outlet).

Storage location list

What it does

Shows storage places for the outlet and filters you pick. You can narrow by type and status, then open a row to edit details.

Step-by-step

1. Open Inventory Management → Storage Locations.
2. Wait if the table shows Loading… - the app is fetching locations.
3. Select a Restaurant from the dropdown. Pick one outlet, or All Locations to see every outlet’s storage places in one list.
4. Optionally select Type to filter (for example Kitchen or Warehouse).
5. Optionally select Status - defaults to Active. Choose All Status to include inactive locations.
6. The list updates automatically when you change Restaurant, Type, or Status.
7. Tap the refresh button (circular arrow) to reload the list manually.
8. Use pagination at the bottom to change page or rows per page.

What the table shows

Column	Meaning
Name	Storage location name
Type	Badge showing type (for example warehouse, kitchen, prep area)
Description	Short notes, or - if empty
Address	Physical address or site detail, or - if empty
Status	active (green) or inactive
Actions	Edit (pencil) - only if your role allows

Add button needs one restaurant selected

Add Storage Location stays disabled when Restaurant is set to All Locations. Select a single outlet first, then tap Add Storage Location.

Common mistakes / FAQs

• I see “No storage locations found”. None exist for this filter, or the outlet has no locations yet. Select the correct Restaurant and tap Add Storage Location.
• Add Storage Location is greyed out. Select a specific Restaurant - not All Locations.
• I do not see Edit. Your role may not include UPDATE on Storage Locations. Ask your administrator.

Add a storage location

What it does

Creates a new storage place for the restaurant currently selected in the filter bar.

Step-by-step

1. In Restaurant, select the outlet where this storage place belongs.
2. Tap Add Storage Location.
3. In the Add Storage Location dialog, under Basic Information, enter Location Name - at least 2 characters.
4. Select Location Type (for example Kitchen or Warehouse).
5. Under Additional Details, optionally enter Description and Address. Address may pre-fill from the outlet’s address when you create a new location.
6. Tap Save Location. The dialog closes and the new row appears in the table.
7. Tap Cancel to close without saving.

New locations start as active

The Status field appears only when you edit an existing location. New locations are saved as active automatically.

Form fields

Location Name	Yes	Display name (for example Main Kitchen, Walk-in Fridge).
Location Type	Yes	Select Warehouse, Kitchen, Bar, Storage, Retail Floor, or Prep Area.
Description	No	Brief note about what is stored here.
Address	No	Physical address or where it sits inside the building. May copy from the outlet address.

Common mistakes / FAQs

• Save Location stays disabled. Enter Location Name (min 2 characters) and select Location Type.
• I see “Name is required”. Location name is empty or too short.
• I see “Location type is required”. Select a type from the dropdown.

Edit a storage location

What it does

Updates name, type, description, address, or status for an existing storage place.

Step-by-step

1. Find the row in the table (use Restaurant, Type, and Status filters if needed).
2. Tap the Edit button (pencil icon).
3. In the Edit Storage Location dialog, change the fields you need.
4. To stop using a location without deleting it, set Status to Inactive.
5. Tap Save Location.
6. Tap Cancel to close without saving.

No delete on this screen

You cannot delete a storage location from this page. Set Status to Inactive to hide it from normal use.

Deactivating a location

What it does

When you change Status from Active to Inactive, the app checks whether stock is still held at that location.

Step-by-step

1. Open Edit on an active location.
2. Set Status to Inactive.
3. Tap Save Location. The button may briefly show Checking… while the app looks for stock.
4. If stock is found, read the confirmation Deactivate this location? It tells you how many items still have stock there.
5. Tap Deactivate anyway to confirm, or Cancel to keep the location active.

Transfer stock before deactivating

If a location still holds stock, deactivating can leave that stock unusable in normal flows. Move or adjust stock on the Stock screen first when possible.

Common mistakes / FAQs

• I only wanted to read details. Open Edit, review fields, then tap Cancel.
• Confirmation appeared when I set Inactive. Stock is still recorded at that location - read the message and transfer stock out first if you need it elsewhere.

There is no Delete action on this screen. Deactivate instead, or ask your administrator if a location must be removed from the system.
