Payment Requests
Use this page to track draft orders that already had a Tax Invoice sent to the customer and are waiting on payment. Once a customer pays — or you mark it paid yourself — the order leaves this list and moves to Transactions.

Where these orders come from
A payment request is created on the Create Order screen when you build an order for a customer and send them an invoice instead of taking payment on the spot. This list only shows orders created by staff (not abandoned online carts).
Payment requests list
What it does
Shows every draft order that is waiting on payment, with a search box and per-row actions to view, resend, mark paid, or cancel.
Step-by-step
- Open Order Management → Payment Requests.
- Optionally type in Search — placeholder Search order or customer… (updates about half a second after you stop typing, resets to page 1).
- Tap Refresh to reload the list from the server.
- Tap Transactions to jump to paid orders.
- Use pagination at the bottom to change page.
What the table shows
| Column | Meaning |

| Order # | The order's reference number. |
| Customer | Name, plus company / email / phone shown underneath when available. |
| Location | Which outlet the order is for. Shows — if unknown. |
| Amount | Order total, in your store's currency. |
| Sent | Date the invoice was created/sent. |
| Status | Always Pending — every order on this list is waiting on payment by definition. |
| Actions | View, Resend, Mark paid (offline payments only), Cancel. |
Empty / loading
- While loading, the table shows placeholder rows.
- No pending payment requests. — nothing is waiting on payment right now.
View order details
What it does
Opens a read-only summary of the order: customer details, line items with modifiers and notes, and the totals breakdown (subtotal, tax, delivery, total).
Step-by-step
- Tap View (eye icon) on a row.
- Review the order.
- Close the dialog — there is nothing to edit here.
Resend the invoice
What it does
Sends the Tax Invoice to the customer again, by email and/or SMS.
Step-by-step
- Tap Resend on a row.
- Choose delivery channels: Email and/or SMS are pre-ticked when the customer has one on file.
- Optionally tick Custom Email and enter another address if the customer's own email or phone is missing or wrong.
- Optionally toggle Keep a copy to also send it to your own order-notification email (on by default).
- Tap Resend Invoice (Sending… while working).
- On success: Invoice resent.
At least one way to send it
Resend Invoice stays disabled until you tick Email or SMS with a valid contact on file, or enter a valid Custom Email.
Common mistakes / FAQs
Why is Resend Invoice greyed out?
The customer has no email or phone on file, and you haven't entered a custom email yet. Tick Custom Email and type a valid address to enable the button.
The customer says they never got the invoice — what do I check?
Confirm which channel you sent it on (Email or SMS), check the address/number on the customer record, and try Resend with a Custom Email as a fallback.
Mark a payment as received
What it does
Records an offline payment (e.g. cash or bank transfer) against the order and moves it to Transactions. It also emails the customer a confirmation.
Step-by-step
- Tap Mark paid on a row.
- Confirm the amount and order number shown in Mark payment received?.
- Tap Mark as paid (Marking… while working).
- On success: Payment received — the order disappears from this list and appears in Transactions.
Not available for online payment links
Mark paid does not appear on rows expecting an online card payment — those are settled automatically once the customer pays through their link.
Cancel an invoice
What it does
Cancels the draft order and removes it from this list permanently. Nothing has been charged or stocked yet, so this is safe.
Step-by-step
- Tap Cancel (trash-style icon) on a row.
- Confirm in Cancel this invoice?.
- Tap Cancel invoice (or Keep it to back out).
- On success: Invoice cancelled.
Cannot be undone
Cancelling removes the invoice and the customer is not notified. If they still owe you money, cancel only after confirming with them directly, or use Mark paid instead if they already paid another way.

Tips
- If sending the invoice failed while creating the order on Create Order, the order still saves as a payment request here — use Resend to try again.
- Prefer Mark paid over Cancel whenever the customer actually paid you, even by cash or transfer — cancelling drops the order entirely.
- Use Refresh after settling a payment on another screen (e.g. POS) to confirm it has left this list.
