Suppliers
Use this page to keep a list of vendors your business buys from. Supplier names appear when you create purchase orders and can be linked on expenses.
Open the screen: Sidebar → Inventory Management → Suppliers
When do you need this?
Add suppliers before you raise purchase orders or pick a supplier on an expense. If the list is empty, purchase forms show messages like No suppliers - add in Inventory → Suppliers.
Supplier list
What it does
Shows every supplier saved for your business. You can search by name, open a row to edit, or remove a supplier you no longer use.
Step-by-step
- Open Inventory Management → Suppliers.
- Wait if the table shows Loading… - the app is fetching your supplier list.
- Read the table columns: Name, Contact, Email, Phone, Payment Terms, and Lead Time.
- To find a supplier, enter text in Search (placeholder Search suppliers…).
- Tap the refresh button (circular arrow) next to Add Supplier to run the search.
- Use pagination at the bottom to change page or how many rows show per page.
Search does not run as you type
After you enter search text, tap the refresh button to update the list.
What the table shows

Common mistakes / FAQs
- I see “No suppliers found”. The list is empty, or your search matched nothing. Clear Search, tap refresh, or tap Add Supplier to create your first vendor.
- I typed in Search but nothing changed. Tap the refresh button - the list does not filter automatically while you type.
- I do not see Add Supplier, Edit, or Delete. Your role may only allow viewing. Ask your administrator for Suppliers permissions.
Add a supplier
What it does
Opens a form so you can save a new vendor with contact details and purchasing defaults (payment terms, credit limit, lead time).
Step-by-step
- On the Suppliers screen, tap Add Supplier.
- In the Add Supplier dialog, enter Supplier name - at least 2 characters. This is the only required field.
- Fill any optional fields you need (contact, email, address, payment terms, and so on). See the field table below.
- Tap Save. The dialog closes and the new row appears in the table.
- To leave without saving, tap Cancel.
Start simple
You only need a Supplier name to save. Add contact and payment details later through Edit.

Common mistakes / FAQs
- Save stays disabled. Enter Supplier name with at least 2 characters. Fix any red error under Email if the format is invalid.
- I see “Name is required”. Supplier name is empty or too short - enter at least 2 characters.
- Email error. Leave Email blank, or enter a full valid address (with @ and domain).
Edit a supplier
What it does
Opens the same form with the supplier’s current details so you can update contact info or purchasing settings.
Step-by-step
- In the table, find the supplier row.
- Tap the Edit button (pencil icon) on the right.
- In the Edit Supplier dialog, change the fields you need.
- Tap Save to update the list.
- Tap Cancel to close without saving changes.
No separate view screen
There is no read-only detail page. To see full address or tax fields, open Edit and read the form - tap Cancel if you only needed to look.
Common mistakes / FAQs
- Changes did not save. Check for red errors under any field (especially Email), then tap Save again.
- I only wanted to read details. Open Edit, review the fields, then tap Cancel.
Delete a supplier
What it does
Permanently removes a supplier from your list. You cannot undo this from the screen.
Step-by-step
- In the table, tap the Delete button (trash icon) on the supplier row.
- Read the confirmation: Are you sure you want to delete this supplier? This action cannot be undone.
- Tap Delete to confirm, or Cancel to keep the supplier.
Deleting may affect other screens
If this supplier is used on purchase orders or expenses, deleting may cause issues or be blocked by the system. Update or close related records first if you are unsure.

If buttons are greyed out or missing, ask your administrator to check your role and subscription.

Recommended order: Add suppliers here first, then use them on Purchase.
