Expense Categories

Use this page to create category names (for example Utilities, Rent) and set Active or Inactive. Categories appear in dropdowns on Expenses and Recurring Expense for the selected restaurant.

Open the screen: Sidebar → Expense ManagementCategories

Restaurant first

The list loads for the Restaurant you pick in the filter bar. The first outlet in your list may be selected automatically on load.


Categories list

What it does

Shows categories for the selected restaurant with view and edit actions. There is no delete on this screen.

Step-by-step

  1. Open Expense ManagementCategories.
  2. Pick Restaurant (placeholder Select restaurant).
  3. Optionally change Status (default Active).
  4. Read the table — Category Name, Status, Created At (medium+ screens), Actions.
  5. Tap refresh to reload.

Filters

Inactive categories

Set Status to All Status or Inactive to find deactivated categories — the page opens on Active by default.

Common mistakes / FAQs

  • “No expense categories found.” Pick a Restaurant or tap Add Expense Category.
  • “Error loading expense categories”. Tap Try Again.
  • Category missing on expense forms. Confirm it is Active and you selected the same Restaurant.

Add a category

What it does

Creates a category for the current restaurant. Defaults to Active.

Step-by-step

  1. Tap Add Expense Category.
  2. In Create Expense Category, fill the fields below.
  3. Tap Create Category (Creating... while saving) or Cancel.
  4. On success: Expense category created successfully.

Validation messages

  • Category name is required
  • Category name must be 150 characters or less

Edit a category

What it does

Updates name or active status. Sends only changed fields; if nothing changed, the dialog closes without an API call.

Step-by-step

  1. Tap Edit (pencil) on the row.
  2. In Edit Expense Category, change fields.
  3. Tap Update Category (Updating... while saving).
  4. On success: Expense category updated successfully.

View a category

What it does

Read-only view of all fields.

Step-by-step

  1. Tap View (eye) on the row.
  2. Review View Expense Category.
  3. Tap Close.
