Discounts
A discount reduces what the customer pays. Pratham ResPOS supports four kinds of discount, and each works differently:
| Discount kind | How it starts | Where to learn more |
|---|---|---|
| Manual discount | You apply it from the cart | This page |
| Automatic discount (rules) | The POS applies it by itself on set days or times | Automatic discounts below |
| Coupon discount | A promo code, entered or auto-applied | Coupons & Promotions |
| Cash discount | Applied when the customer pays with cash | Cash Discount |
Apply a manual discount
A manual discount takes a dollar amount or a percentage off the whole order. Use it for things like staff meals, goodwill gestures, or price matching.
- Add all items to the cart first.
- Tap the settings icon (⚙) at the bottom of the cart.
- Tap Discount. The Manage Discount screen opens.
- Select a Discount Type - $ Flat takes off a fixed dollar amount, % takes off a percentage.
- Tap a Quick Select Amount (5, 10, 20, 25, 30, or 40), or enter your own number in Custom Amount.
- Enter a short note in Discount Reason - for example "staff meal" or "late delivery apology".
- Tap Apply Discount.
The discount now shows in the cart summary with a red × next to it, and the total updates straight away.
WARNING
A percentage discount cannot be more than 100%. A flat discount cannot be more than the order subtotal. The POS blocks anything higher.
TIP
Always enter a discount reason. Reasons appear in reports, so your manager can see why each discount was given.
Update or remove a discount
- Tap the settings icon (⚙), then tap Discount.
- Change the type or amount, then tap Update Discount.
- To remove it instead, tap Remove Discount.
You can also tap the red × next to Discount in the cart summary to remove it in one tap.
Discount approval (manager sign-in)
🔒 Manager only - your venue can require a manager to approve every discount and surcharge.
When this is turned on, tapping Discount or Surcharge first opens an Authenticate Admin sign-in screen. A manager must enter their credentials before the discount screen opens.
INFO
This is controlled by the Authorized Discount setting in POS Settings. When it is off, any staff member can apply discounts.
Automatic discounts
Your venue can set up discount rules that apply on their own - for example "10% off all day Tuesday" or "5% off lunch orders over $50". When a rule matches, the discount appears in the cart automatically. You do not need to do anything.
Rules can be limited by:
- Day of the week
- Time of day (for example, 11:00 am – 2:00 pm)
- Public holidays - a rule can run only on holidays, never on holidays, or always
- A date range (for example, only during December)
- Minimum and maximum order amount
TIP
If you apply a manual discount, the automatic rule stops changing it. Your manual discount always wins.
INFO
🔒 Manager only - discount and surcharge rules are set up in the Admin portal, not on the POS.
Where discounts appear
- Cart summary - the discount line shows the amount taken off. Percentage discounts also show the rate, like
10%. - Receipt - the discount prints on the customer receipt.
- Reports - discounts and their reasons appear in Cash Up and Sales Report.
FAQs
Why is the Discount option greyed out?
The cart is empty. Discounts apply to an order, so the POS waits until there is at least one item in the cart. Add the items first, then apply the discount.
Why does it say "No active discount available"?
No discount types are set up for your venue, so there is nothing to choose from. 🔒 Manager only - discount types are configured in the Admin portal. Ask your manager to set them up.
Can I discount just one item instead of the whole order?
The Discount screen applies to the whole order. To reduce the price of a single item, use a coupon set up for that item - see Coupons & Promotions - or ask your manager about creating an item-level offer in the Admin portal.
Does the discount apply to deals?
Percentage discounts are calculated on regular menu items. Deal and combo items keep their fixed deal price - they are already discounted as part of the deal.
