Item Stocks
The Item Stocks screen shows how much of each tracked item you have on hand, right from the POS. Use it to check availability before promising a dish, or to spot items running low.
Tap Operations → Item Stocks to open the screen.
INFO
Stock levels come from the inventory system in the admin portal. This screen is read-only - it shows quantities but does not change them. Stock is managed in the admin portal's Inventory section.
Find an item
Use the filters at the top to narrow the list.
- Search Items - type part of an item name.
- Barcode - scan or type a barcode to jump straight to that item.
- Category - pick a category to show only its items.
What each column means
| Column | What it shows |
|---|---|
| Product | The item name and its unit of measure |
| Category | The category the item belongs to |
| Tracking | Whether the item's stock is tracked. Untracked items do not show quantities. |
| Available | Quantity you can sell now (on hand minus allocated) |
| On Hand | Total physical quantity in stock |
| Allocated | Quantity reserved for open or unfulfilled orders |
| Status | A quick badge: In Stock, Low Stock, Out of Stock, or N/A for untracked items |
Stock status at a glance
The Status badge and the Available number are colour-coded so you can scan the list quickly:
| Status | When it shows | Colour |
|---|---|---|
| In Stock | More than 5 available | Green |
| Low Stock | 5 or fewer available | Amber |
| Out of Stock | 0 or fewer available | Red |
| N/A | The item is not tracked for stock | Grey |
TIP
Sort the table by the Available column to bring your lowest-stock items to the top, then reorder or restock before they run out.
Common questions
An item shows "N/A" or no quantities - why?
That item is untracked. Stock tracking is switched on per item in the admin portal's Inventory section. Turn tracking on there if you want to see quantities for it.
The numbers look wrong or out of date.
Item Stocks reflects the latest inventory data from the admin portal. If a delivery was just received or stock was adjusted, refresh the POS (or reopen the screen) to pull the newest figures. Ongoing stock changes are made in the admin portal, not here.
What's the difference between On Hand and Available?
On Hand is everything physically in stock. Available subtracts quantities already Allocated to open orders, so it is the amount you can still sell right now.
